1. Purpose and scope

This Privacy Statement explains how BlackGrove LLC (BlackGrove, we, us, or our) collects, uses, discloses, retains, and protects personal information when you visit https://www.blackgrove.ai, use its public pages, contact form, or publicly available interactive demonstration, or communicate with us about the Site (collectively, the Site).

This Statement covers the public marketing Site. A BlackGrove customer environment, product, demonstration, dataset, recruitment process, or contracted service may be subject to a separate notice or agreement. If BlackGrove processes information solely on behalf of a customer, that customer controls the processing and its notice applies.

2. Information we collect

2.1 Information you provide

When you submit the contact form, interact with a public demo, or communicate with us, we may collect:

• your name;
• email address;
• company or organization;
• the content of your message;
• demo queries, prompts, selections, feedback, and generated outputs associated with your interaction;
• your communication preferences and correspondence history; and
• other information you choose to provide.

The public contact form does not request payment details, government identifiers, precise location, health information, biometric information, or other sensitive personal information.

2.2 Information processed automatically

When you visit the Site, our hosting and network providers may automatically process ordinary request and device information needed to deliver and secure the Site. Depending on the provider and request, this may include:

• Internet Protocol address;
• browser and device type;
• operating system;
• requested page or resource;
• referring page;
• request date and time;
• general location inferred from an Internet Protocol address; and
• diagnostic, performance, security, and error information.

BlackGrove does not currently use this information to build advertising profiles or track visitors across unrelated websites.

2.3 Information from other sources

We may receive business contact information from your organization, a referral source, publicly available professional sources, or a service provider supporting our communications. We use that information only for legitimate business communications, relationship management, security, and compliance.

3. How we use information

We may use personal information to:

• operate, deliver, maintain, troubleshoot, and secure the Site;
• receive, route, and respond to inquiries and access requests;
• operate, secure, test, and evaluate a public demo and the reliability of its outputs;
• evaluate a potential customer, partner, supplier, candidate, or other business relationship;
• communicate about BlackGrove when you request information or when applicable law permits relevant business communications;
• prevent spam, fraud, misuse, security incidents, and unlawful activity;
• understand Site reliability and improve Site content and accessibility;
• establish, exercise, or defend legal rights;
• comply with law, regulation, sanctions, export-control requirements, legal process, and lawful government requests; and
• support a corporate transaction, subject to appropriate safeguards.

We do not use contact-form submissions or public demo inputs to train or fine-tune artificial-intelligence or machine-learning models. We may use aggregated or de-identified operational statistics to evaluate and improve the Site and demo, provided those statistics cannot reasonably be linked to an individual.

4. Legal bases for processing

Where a law requires a legal basis, we rely on one or more of the following:

• Legitimate interests: operating and securing the Site, responding to business inquiries, developing business relationships, improving our communications, preventing misuse, and protecting legal rights;
• Steps at your request: taking steps before entering into a contract or responding to a request concerning potential services;
• Legal obligations: complying with applicable law, lawful process, sanctions, export controls, and recordkeeping requirements; and
• Consent: where we specifically request consent, including for a communication or technology that requires it. You may withdraw consent at any time, without affecting prior lawful processing.

5. Cookies and similar technologies

As of the Last updated date, the Site does not use advertising cookies, analytics pixels, cross-site behavioral tracking, or a visitor analytics service. The Site is a static website and does not provide public user accounts.

Our hosting, network, form-processing, or demo-infrastructure providers may use technical processes or storage strictly to deliver, protect, balance, or troubleshoot their services. BlackGrove may later offer optional functional or analytics cookies through an opt-in consent mechanism. Optional cookies will remain disabled until the visitor makes the required choice. Browser settings may allow you to block or delete cookies, although doing so can affect technical functionality on sites that use them.

We do not currently respond to browser Do Not Track signals because the Site does not engage in cross-site behavioral tracking. Where legally required and technically applicable, we will honor recognized opt-out preference signals. Our use of cookies and the controls available to you are described in the Cookie Notice. If we introduce non-essential cookies or tracking, we will update the applicable notices and obtain consent where required.

6. How we disclose information

We may disclose personal information to:

• Service providers that host, transmit, secure, or support the Site and our communications, subject to contractual or other appropriate safeguards;
• Professional advisers such as legal, accounting, insurance, security, and compliance advisers when reasonably necessary;
• Authorities or other parties for legal and safety reasons when we believe disclosure is required by law or reasonably necessary to protect rights, safety, security, or the integrity of the Site;
• Transaction participants in connection with a financing, diligence process, merger, acquisition, reorganization, bankruptcy, or sale of assets, subject to appropriate confidentiality protections; and
• Other parties at your direction or with your consent.

The Site currently uses the following material service providers:

• DigitalOcean hosts and delivers the static Site. Its privacy information is available at https://www.digitalocean.com/legal/privacy-policy.
• Web3Forms receives and routes contact-form submissions. Its privacy information is available at https://web3forms.com/privacy.

Your email provider, our email provider, and the networks carrying a message also process information when you email us or receive a reply.

We do not sell personal information. We do not share personal information for cross-context behavioral advertising, and we do not use personal information for targeted advertising on the Site.

7. Retention

We retain personal information only as long as reasonably necessary for the purposes described in this Statement, including business communications, security, legal compliance, dispute resolution, and enforcement of agreements.

Contact inquiries and related correspondence are ordinarily retained for up to three years after the last substantive interaction. We may retain them longer if a business relationship develops, a contract or legal obligation requires it, the record is relevant to a dispute or security matter, or you ask us to keep the information. We may delete irrelevant or unsolicited material sooner.

Unless a notice presented with a public demo states a shorter period, identifiable demo inputs, outputs, and interaction logs are ordinarily retained for no more than 90 days for security, troubleshooting, evaluation, and abuse prevention. Aggregated or de-identified statistics that cannot reasonably be linked to an individual may be retained longer.

Service providers may maintain information under their own documented retention schedules. Web3Forms states that form submissions may be retained for up to three years by default unless a shorter period is configured. Backup copies may persist for a limited period after deletion before being overwritten.

8. Security

We use reasonable administrative, technical, and organizational measures designed to protect personal information in light of its nature and the risks involved. Those measures include encrypted transmission for the Site and form submission, restricted access, and use of established infrastructure providers.

No internet transmission, storage system, or security measure is infallible. We cannot guarantee absolute security. You are responsible for choosing an appropriate channel and for not submitting restricted or highly sensitive material through the public Site.

9. International processing

BlackGrove is based in the United States, and the Site and its providers may process information in the United States and other countries where they operate. Those countries may have privacy laws different from the laws where you live.

Where applicable law requires a transfer mechanism, we use an available lawful mechanism and appropriate safeguards, which may include contractual protections. You may contact us for more information about safeguards relevant to your information.

10. Your rights and choices

Depending on where you live and subject to applicable exceptions, you may have rights to:

• request access to personal information about you;
• request correction of inaccurate information;
• request deletion of information;
• object to or restrict certain processing;
• receive certain information in a portable format;
• withdraw consent where processing is based on consent;
• opt out of certain sales, sharing, targeted advertising, or profiling; and
• appeal a decision concerning a privacy request or complain to a regulator.

BlackGrove does not currently sell personal information, share it for cross-context behavioral advertising, use it for targeted advertising, or make decisions producing legal or similarly significant effects through automated profiling.

To exercise a privacy right, email legal@blackgrove.ai with the subject Privacy Request and describe your request and your relationship with BlackGrove. We may need to verify your identity and authority before acting. An authorized agent may submit a request where permitted by law, but we may require evidence of authorization and verification of the individual.

We will respond within the period required by applicable law. We will not discriminate against you for exercising a privacy right. If we deny a request, you may appeal by replying to our decision with the subject Privacy Appeal.

You may opt out of non-transactional marketing email by using the unsubscribe method in the message or contacting us. We may still send communications necessary to respond to you, administer a relationship, protect security, or comply with law.

11. Children

The Site is intended for business and professional audiences and is not directed to children under 16. We do not knowingly collect personal information from children through the Site. If you believe a child has provided personal information, contact us so we can review and, where appropriate, delete it.

12. Third-party sites

The Site may link to third-party websites or services. Their privacy practices are governed by their own notices. BlackGrove is not responsible for third-party privacy or security practices.

13. Changes to this Statement

We may update this Statement to reflect changes to the Site, our practices, or applicable requirements. We will post the revised Statement on the Site and change the Last updated date. If a change materially affects how we use information already collected, we will provide additional notice or seek consent where required by law.
